Managing Educators in a Room

Before You Begin

1. Log in to BeED using your account credentials.
2. Make sure your active role is set to Educator (or Admin).
3. From the left menu, navigate to Hub, open your Hub, and select the Room you want to manage.
4. Make sure you are on the Educator tab inside the Room.

What You Can Do in the Educator Tab

The Educator tab is where you invite and manage co-Educators within a specific Room. From here you can invite new Educators via email, reassign them to other Rooms, and remove them from the Room entirely.

Inviting Educators to a Room

1. In the Educator tab toolbar, click the + Invite Educator button.
   • On hover, the button turns darker blue.
2. The Invite Educator via Email popup will appear.

Inside the Invite Educator popup:

1. Click the Enter Email field and start typing an email address.
   • After 2 characters, email suggestions will appear — click a suggestion to autocomplete.
   • Confirmed emails appear inside a pale grey rounded rectangle tag.
2. If an email address is invalid, the text turns red after you type a space, with the message: "Please enter a valid email address."
3. Click Send Invite.
   • Educators are added to the Room immediately.
   • An email notification is sent to each invited Educator.
   • A notification confirms: "Invitation sent."
4. To close without inviting, click the X button — you will be returned to the Room.

Searching and Sorting the Educator List

• Search bar — searches the Educator list in this Room. An (x) clear icon appears after typing 1 character. Results appear automatically after 2 characters.
• Sort By — sort the list by:
  • Name A–Z
  • Name Z–A

Reassigning an Educator to Another Room

Reassigning moves an Educator from their current Room to a different Room within the same Hub.

To reassign a single Educator:

1. Click the three-dot (⋮) menu on the Educator row.
2. Select Reassign.
3. The Reassign Educator popup will appear.
4. Select the destination Room from the list using the radio button.
5. Click Reassign.
   • On hover, the button turns darker.
6. A notification confirms: "Educator(s) reassign to {Room Name}."

To reassign multiple Educators:

1. Select Educators using their checkboxes — or tick Select All.
   • The header updates to show "X Selected" or "All Selected".
2. Click the Reassign icon in the Selection Toolbar.
   • On hover, a grey circle background appears behind the icon.
3. The Reassign Educator popup will appear showing the number of Educators selected.
4. Select the destination Room and click Reassign to confirm.

Unlike Learners, reassigning an Educator does not delete any data — Educator reassignment only changes which Room they are associated with.

An Educator can be in multiple Rooms within the same Hub simultaneously using the same email address. Reassigning adds them to the new Room — it does not automatically remove them from the previous one unless you remove them manually.

Removing an Educator from a Room

To remove a single Educator:

1. Click the three-dot (⋮) menu on the Educator row.
2. Select Remove Educator.
3. A confirmation warning will appear: "Are you sure you want to remove this educator? This action will take effect immediately."
4. Click Remove to confirm — notification: "Educator(s) is successfully removed."
5. Click Cancel to go back without removing.

To remove multiple Educators:

1. Select Educators using their checkboxes — or tick Select All.
2. Click the Bin icon in the Selection Toolbar.
   • On hover, the icon turns red with a grey circle background.
3. A confirmation warning will appear.
4. Click Remove to confirm — notification: "Educator(s) is successfully removed."
5. Click Cancel to go back.

Educator List — What You'll See

Each row in the Educator list shows:

• Educator avatar — display only.
• Educator name — display only.
• Educator email — display only.
• Three-dot (⋮) More Options menu — available actions per Educator:

Quick Summary

1. Click + Invite Educator and enter email addresses to invite co-Educators to this Room.
2. Use the Search bar and Sort By to find specific Educators in the list.
3. Use (⋮) > Reassign or the Reassign icon in the Selection Toolbar to move Educators to another Room.
4. Use (⋮) > Remove Educator or the Bin icon to remove Educators from this Room.

Important Notes / Tips

• Unlike Learners, an Educator can be in multiple Rooms within the same Hub at the same time using the same email address.
• Removing an Educator does not affect Learner progress or Experio — only the Educator's association with the Room is removed.
• Reassigning an Educator does not remove them from their previous Room — if you want to move them exclusively to a new Room, remove them from the old Room manually after reassigning.
• Selecting an Educator row works by clicking anywhere on the row except the three-dot menu.
• Right-clicking anywhere on an Educator row (except the checkbox) will open the three-dot menu directly.
• Double-clicking an Educator row currently has no action.
• Go to Profile and Send a Chat options in the three-dot menu are currently UI only and will be available in a future update.
• There is no maximum Educator limit per Room — you can invite as many co-Educators as needed.
