Creating a New Hub

Before You Begin

1. Log in to BeED using your account credentials.
2. Make sure your active role is set to Educator (or Admin).
3. From the left menu, navigate to Hub.

How to Create a New Hub

Step 1 — Open the Create Hub form

From the Hub main page, you can start creating a new Hub in one of two ways:

• Click the (+) Plus button in the top-right corner of the screen.
• Click the "Create a Hub" button on the banner at the top of the workspace.

Both actions will open the Create New Hub form.

Step 2 — Add a Cover Image (Optional)

• Click the pencil icon on the top-right of the image area to upload a cover image.
• Supported formats: PNG, JPEG, JPG (maximum file size: 2MB).
• The image will be displayed at a 4:3 aspect ratio. If your uploaded image exceeds this ratio, BeED will automatically crop and centre it to fit.

If no image is uploaded, a default placeholder will be used.

Step 3 — Enter a Hub Name (Required)

• Type your Hub name in the Hub Name field.
• You may use text, numbers, emojis, and special characters.
• The character limit is 500 characters.

This is the only mandatory field. If left empty, the field outline will turn red and the Create button will be disabled until a name is entered.

Step 4 — Add a Description (Optional)

• Type a description in the Description field.
• The character limit is 500 characters.

Step 5 — Set Hub Duration (Optional)

By default, the Duration setting is disabled, meaning your Hub will be active immediately upon creation with no end date.

To set a specific start and end date:

1. Toggle Set Hub Duration to on.
2. Select a Start Date — this must be today's date or a future date. Past dates are not allowed.
3. Select an End Date — this must be the same as or later than the Start Date.
4. The Time Zone defaults to Malaysia (MYT GMT+8). If you change it, your new selection becomes the default for future Hubs.

When Duration is disabled, the date fields remain visible but are greyed out and cannot be edited.

Once the end date passes, all Experio will be automatically removed from Learner devices and the Hub status will update to Ended.

Step 6 — Create the Hub

• Click the Create button to finalise your Hub.
• You will be taken directly inside the Hub where you can begin setting up Rooms and importing Experio.
• To discard and return to the Hub main page, click Cancel.

Based on the steps above, here's a quick summary:

1. Go to Hub from the left menu.
2. Click the (+) Plus button or "Create a Hub" on the banner.
3. Upload a cover image (optional).
4. Enter a Hub Name (required).
5. Add a description (optional).
6. Toggle Set Hub Duration and set your dates (optional).
7. Click Create — your Hub is live!

Your Hub is ready. Time to set up your Rooms and start adding Experio!

Important Notes / Tips

• Hub Name is the only required field. All other fields are optional and can be edited later.
• A Hub becomes Active immediately upon creation if no duration is set.
• If you set a duration with a future start date, the Hub will be in Scheduled status until the start date is reached.
• You can edit all Hub details at any time after creation, regardless of the Hub's current status. See Editing Hub Details for more.
• Once a Hub is created, Room 01 is automatically created inside it and ready to use.
• The Time Zone you select here will apply to all scheduled Experio dates within this Hub.
