The Unified Library lets you select multiple files at once and act on all of them in a single step. Instead of archiving or downloading files one by one, you can use selection mode to handle everything together and save time when managing large collections of content.
The Unified Library is available for Educators.
Need to act on multiple files at once? Let's take a closer look below.
Before You Begin
- Log in to BeED using your account credentials.
- Make sure your active role is set to Educator.
- Navigate to the Unified Library and open the Account Library from the Left Frame sidebar.
Understanding Selection Mode
Selection mode is activated by a single click on any file card or row. Once active, a toolbar appears at the top of the content area showing how many files are selected and your available bulk actions.
Single-click selects. Double-click opens. Clicking once on a file enters selection mode — it does not open the file. To open a file directly, double-click it.
The Selection Toolbar
When one or more files are selected, the selection toolbar appears at the top of the content area. It contains:
| Element | Description |
|---|---|
| Checkbox | Select all files in the current view |
| Count | Shows the total number of files currently selected (e.g. "5 Selected") |
| X button | Deselects all files and exits selection mode |
| Download icon | Bulk downloads all selected files |
| Archive icon | Bulk archives all selected files |
How to Select Files and Bulk Download
- Open any library section from the Left Frame sidebar.
- Single-click on any file card or row (not the three-dot menu) to enter selection mode.
- The file is highlighted and a checkbox appears on the card or row.
- Continue single-clicking additional files to add them to your selection.
- The selection toolbar appears at the top showing your current count.
- To select all files in the current view, click the checkbox on the left of the toolbar.
- Click the Download icon in the toolbar.
- All selected files download to your device.
How to Select Files and Bulk Archive
- Open any library section from the Left Frame sidebar.
- Single-click on any file card or row (not the three-dot menu) to enter selection mode.
- Continue single-clicking additional files to add them to your selection.
- To select all files in the current view, click the checkbox on the left of the toolbar.
- Click the Archive icon in the toolbar.
- All selected files are moved to the Archived tab immediately.
- A green success notification confirms the action.
Archiving is not the same as deleting. Archived files are held safely and can be restored at any time. Permanent deletion is an Admin-only action available from the Archived tab.
How to Deselect Files and Exit Selection Mode
- To deselect an individual file, single-click it again.
- To deselect all files at once, click the X button on the selection toolbar.
- Selection mode exits and the toolbar disappears.
Based on the steps above, here's a quick summary:
- Single-click any file to enter selection mode.
- Continue clicking to add more files to your selection, or use the checkbox to select all.
- Use the Download or Archive icon in the toolbar to act on all selected files at once.
- Click the X button to exit selection mode without taking action.
Managing multiple files has never been faster — select, act, done!
Important Notes / Tips
- Selection mode works in both Grid view and List view.
- Single-click enters selection mode. Double-click opens the file directly — it does not enter selection mode.
- Clicking the three-dot (⋮) More Options menu while in selection mode does not affect your current selection.
- The checkbox in the toolbar selects all files currently loaded in the view — if you have scrolled down and more files have loaded, all loaded files will be selected.
- Bulk Archive moves all selected files out of the active library view. They are not deleted and can be restored from the Archived tab.
