B-Meet: Video Conferencing Module

B-Meet is a built-in video conferencing module that enables real-time collaboration and interactive learning sessions directly inside the LMS.
It helps administrators, educators, and learners communicate seamlessly during classes, meetings, and training sessions, all while staying within the same learning environment.
 


Roles in B-Meet

When joining a B-Meet session, users can have different roles depending on their permissions:

  • Educator / Moderator (The Host) – Full control of the session, including managing participants, sharing content, and moderating the meeting. [Click here for details]

  • Learner (The Participant) – Limited access to participate in the session, view shared content, and interact as allowed by the host. [Click here for details]


Features

  • Participants List (This feature can be done by the Educator or Participant)

    • During your live session, you can view all users currently in the room by opening the Participants Panel (the person icon located at the top-left corner).

  • Shared Notes (This feature can be done by the Educator or Participant)

    • Collaborative feature in B-Meet that allows all participants to write, edit, and view notes together in real time during a live session. It’s useful for summarising key discussion points, listing important links or resources, and keeping a shared record of what was covered in the meeting. All updates made in the Shared Notes area are instantly visible to everyone.
    • The notes can also be exported in multiple formats, including Etherpad, HTML, Plain Text, Microsoft Word, PDF, and ODF.

 

  • Content Library (This feature can be done by the Educator/Moderator only)

    • Content Library in B-Meet is a place where educators and moderators can upload and manage their teaching materials. You can store files like slides, documents, images, or videos and easily share them during a live session. It helps keep all your resources organised and ready to use anytime.

 

  • Manage Users  (This feature can be done by the Educator/Moderator only)

    • B-Meet allows moderators or educators to control all participant activities during a live session.
  • Disable Users Join Muted – Prevents users from joining the session with their microphones muted. When this is turned off, participants will join with their mics active.

  • Mute All Users Except Presenter – Instantly mutes everyone in the room except the presenter, helping reduce background noise and maintain focus during presentations.

  • Lock Viewers – Lets moderators restrict certain features for participants, such as chat, webcam, microphone, or note editing, to control what viewers can do during the session.

  • Guest Policy – Determines how guests can join the session. You can choose whether they must ask the moderator for approval, are always accepted automatically, or are always denied.

  • Save User Names (TXT File) – Allows you to export and save the list of participant names from the session in a .txt file for attendance or record-keeping.

  • Clear All Reactions – Removes all emojis or hand-raise reactions currently displayed from participants, helping reset the screen during the session.

  • Create Breakout Rooms – Enables moderators to split participants into smaller groups for discussions or activities, then bring them back to the main session when finished.

  • Learning Analytics Dashboard – Provides an overview of participant engagement, showing insights like attendance, chat activity, and interaction levels to help evaluate learning outcomes.

 

  • Action Button

    • Action Button in B-Meet gives quick access to important controls during a live session.

 

  • Upload/Manage Presentations – Allows you to upload and organise presentation files to display and control during the session.

  • Start a Poll/Quiz – Lets you create quick polls or quizzes to gather feedback or check understanding from participants.

  • Share an External Video – Enables you to share videos from external sources (like YouTube) directly in the session for everyone to watch together.

  • Activate Timer/Stopwatch – Adds a timer or stopwatch to help manage time during activities, discussions, or presentations.

    • You can deactivate the stopwatch by selecting it again from the Action Button.

  • Share Camera as Content – Lets you share your camera feed as the main presentation content instead of your slides or screen.

  • Share Website Link as Content – Allows you to share and display a web page link that participants can view together in real time.

  • Pick Random User – Randomly selects a participant from the room, useful for Q&A, activities, or engagement exercises.

  • Write Closed Captions – Enables you to type or display real-time captions for accessibility or to assist participants in following the discussion.

 

  • Manage Individual Participants as a Moderator in B-Meet

As a moderator or educator in B-Meet, you have full control of your live class session. This guide walks you through how to manage participants, like turning chat or whiteboard access on and off, promoting someone to presenter, or removing a user, so your session runs smoothly and stays engaging for everyone.

Before getting started, make sure you’re logged in as an Educator or Moderator, the B-Meet session has already started, and all participants have joined. This article is helpful for educators managing live sessions and learners who want to understand what moderators can do in the room.

 

Step-by-Step Instructions

  • Start a Private Chat (This feature can be done by the Educator or Participant)

    • Click on a participant’s name.

    • Select Start Private Chat to open a one-on-one conversation window.

       

 


 

  • Lock Public Chat (This feature can be done by the Educator/Moderator only)

    • Click on a participant’s name.

    • Select Lock Public Chat to restrict certain users from sending messages in the public chat area.

    • You can unlock it by doing the same, click the participant’s name and select “Unlock Public Chat

  • Give Whiteboard Access (This feature can be done by the Educator/Moderator only)
     

    • Click on the participant’s name.

    • Select the participant that you want to Give Whiteboard Access to allow them to annotate or draw on the whiteboard.



 

  • To revoke access, click the same participant name again and choose Remove Whiteboard Access.

     

  • Make Presenter (This feature can be done by the Educator/Moderator only)
     

    • Click on the participant’s name.

    • Select Make Presenter to let a participant share their screen or present materials.

 



 

  • To reclaim presenter rights, click your own name and choose Take Presenter.

 

  • Promote to Moderator (This feature can be done by the Educator/Moderator only)

    • Click on the participant’s name.

    • Choose Promote to Moderator to give a participant full moderator privileges (e.g., managing others, controlling features).


 

  • To revert their role, click their name again and select Demote to Viewer.

 

  • Remove User (This feature can be done by the Educator/Moderator only)

    • If necessary, click a participant’s name and select Remove User to remove them from the session.

 


💡 Notes

  • A room cannot remain active without at least one moderator. If all moderators leave, the system will automatically close the room within 3 minutes.

  • Learners will lose connection once the room closes.

  • Always communicate changes (e.g., giving or removing presenter access) to avoid confusion during sessions.

  • As a presenter, you can give or remove whiteboard access from participants.


🧭 Example Use Cases

  • You’re conducting a live class and want to assign a student to present their project using the Make Presenter feature.

  • You need to temporarily stop class chatter, use Lock Public Chat.

  • You’re facilitating a group discussion, grant Whiteboard Access to encourage collaboration.
