This article is designed as a practical guide for educators and learners in managing learner accounts that have been archived on the BeED platform. The guide covers the archiving process, viewing the list of archived users, reactivating accounts, and understanding the access limitations for learners whose accounts have been archived.
Archiving Learner Accounts by Educators
Archiving a learner account is typically done when a learner is no longer actively participating in the learning process within a specific Hub. Below are the steps for archiving:
Steps:
Log in to the BeED platform as an educator.
Navigate to the menu: Tools > Hub.
Select the appropriate Hub.
From the learner list, choose the learner account to be archived.
Click the Archive button to archive the selected account.
Once this process is completed, the learner account will be moved from the active list to the archived list.
Viewing the List of Archived Users
Educators have access to view all learner accounts that have been archived within a Hub. Here’s how to access the list:
Steps:
Log in to the BeED platform as an educator.
Open the Hub section.
Navigate to the Learner tab.
Toggle the switch next to the active user list to display archived users.
This list allows educators to monitor accounts that are no longer active and offers the option to reactivate them if needed.
Reactivating Archived Learner Accounts (Unarchive)
If a learner resumes learning activities, educators can restore their account. Here’s how:
Steps:
Log in to the BeED platform as an educator.
Go to the Hub section.
Navigate to the Learner tab and toggle the switch to show archived accounts.
Select the learner account to be reactivated.
Click the Activate button located below the learner account.
Once reactivated, the learner will regain full access to the Hub and all related learning activities.
Impact of Archiving on Learners
Archived learner accounts will have restricted access within the platform. This is intended to maintain data integrity and the structure of the learning process.
Access Limitations:
Learners can only access content in the Library in Read-Only mode (view only, no editing).
Learners can view or play images, documents, videos, and audio files but cannot download them.
All previously submitted attempts (e.g., answering questions) remain visible but only in Read-Only mode.
If a learner tries to scan the barcode to re-enter the Hub, the system will display the following message:
"Your access to the Hub has been temporarily restricted. To restore access, kindly reach out to the administrator of the hub at chairman@beed.world for assistance."
Archived learner accounts will not receive any notifications related to the Hub or its learning activities.
